Vacate

Vacate (Move-out) Process: 

1. Submit Intent to Vacate Form + 60-Day Notice Policy:  

If you (and all other leaseholders in your household) are planning to move out of CTC, you must submit the “Intent to Vacate” form at least 60 days prior to your move out date. To find and complete the form, log into your RentCafe account and click “Forms,” under the menu option Resident Resources. Open the form, then download, fill in, save, and email to housing@umnctc.org

  • You must specify one move-out date on your Intent to Vacate. Once your move-out day is decided and submitted via the Intent to Vacate form to the office, this date cannot be changed.  
  • Your 60-day notice period begins the day that your Intent to Vacate form is fully completed and properly submitted to CTC’s office. 
  • You can indicate a move-out date earlier or later than the required 60-day notice in your Intent to Vacate form; however, you are responsible for paying the full amount for the 60-day notice period. 
  • All adult leasees’ signatures (or e-signatures) must be on one form before it is submitted to the office. 
  • You can provide a forwarding mail address at a later date, any time before you move out. The provided forwarding address is where your security deposit refund will be mailed to unless otherwise indicated (see section “Security Deposit Return”). 

2. Complete Exit Survey

Please complete our exit survey here. Your feedback helps us improve the living experience for current and future residents. This survey should take approximately 5-10 minutes to complete.

3. Notify Your Ward Representative

  • Co-op Members: Notify your Ward Rep of your vacate date. Also, complete any laundry duties your Ward Rep may have assigned you before your departure.

4. Pay Final Month’s Rent Due 

  • The amount due is prorated to your indicated move-out date or end of your 60-day notice period* (whichever date is later, if not the same), meaning you only pay for the days that you are responsible for the apartment.  
  • *You are responsible for paying the full amount for the 60-day notice period, which starts the day the Intent to Vacate form is properly completed and submitted to the office. 
  • The calculated, prorated amount due should appear on your RentCafe account ledger on the first day of the month that you are scheduled to move-out. If you have questions or want to see the prorated amount earlier, please contact the office.
  • If you overpay in your last month’s payment (e.g. pay your typical monthly amount due without deducting the prorated calculation), the difference will be refunded to you in your security deposit. 
  • Pay My Rent.

6. Disconnect Internet/Return Equipment:

If you have any Comcast equipment in your apartment – an internet modem/router – it is your personal responsibility to return the equipment to Comcast. If you do not return, you will be charged a handling fee that will be deducted from your deposit.

You can return it to a site location, or request a return box via online or phone to mail in the equipment.

7. Keys and Parking Permit Return

  • All your keys/permits must be returned by midnight on your move-out day. You can move out and return your keys any time before or on your indicated vacate date. However, you are still financially responsible for the full amount due for the 60-day notice period or indicated vacate date (whichever date is later if not the same).  
    • Requirements for submitting keys/permits: 
      • All applicable keys/permits must be submitted at once, together 
      • Keys/permits must be labeled (e.g., place in an envelope and write your CTC address on it) 
      • All must be submitted on your vacate day or before. If submitted after your vacate date, you are subject to all applicable fees for non-returned keys/permits. If you are submitting any items late, please inform the office as soon as possible.  
  • Required Items: Find the list and amount of all applicable keys/permits provided to you - plus respective charges if not returned - via your RentCafe account > Documents > Rental Addendum. 
    • Apartment key/s 
    • Building key/s 
    • Laundry room key/s 
    • Mailbox key/s 
    • Reloadable laundry card (balance non-refundable) 
    • Visitor parking permit (if applicable) 
    • Parking permits (if applicable) 
    • Study Center Key (if applicable) 
  • Where/How to Return:  
    • Place all keys/permits in an envelope or ziploc bag 
    • Write your CTC address on envelope or ziploc bag 
    • Submit the sealed and labeled envelope/ziploc bag into our 24-hour dropbox on the West side of the CTC Community Center (1250 Fifield Ave, Falcon Heights MN 55108).
